Abstract
Currently, majority of the tasks in the Facilities Management Office at Sacramento State University is managed manually along with the help of multiple standalone applications, such as Outlook Task Scheduler, Alerts/Reminders, Job Scheduler and operations management through Facilities management application which is not integrated with all associated tasks and is ineffectively used due to its many limitations. Based on the feedback from office managers, they would like a way to resolve the current delimitation's presented by the legacy software, which is old, causes redundancy, overwork and results in difficulties to manage campus-wide jobs in an organized manner with a timely alert system. To resolve their problems, I proposed to build a streamlined, multi-purpose and an extensible application to manage all jobs performed on campus. In essence, it is an efficient workflow management system for all parties involved – a one stop application would not only help the staff in doing their current tasks but also can be used by the work chain(i.e., Managers, workers, end users etc.,) to assign and sort tasks on a day-to-day basis, and link them directly with other utilities such as timesheets. It would also include a customizable dashboard to minimize clicks to various system specific jobs like creating a work order, managing phases, assigning jobs and other system and workflow specific jobs and their associated tasks. This will lead to faster task completion and therefore quicker work order completions. With our proposed web-based solution, all the changes they make in terms of schedule or jobs will be in sync and have a responsive flow from its initiation till its conclusion. This application will help them provide better solutions with conforming timelines for work orders, allow other users to view status with simplicity, and enable a transparent job completion process. This would ultimately lead to a higher efficiency and satisfaction in their office.
